Order Entry has never been easier. The IntelliTrax Order Entry Screens are laid out logically to follow the natural flow of the CSR's actions. Screen by screen the CSR will be guided through the Order Entry Process. Order Entry is even easier if you take the time to fill in the Profiles. Account, Agent, Driver, and Vendor information automatically populates Order Entry fields from Profile data accelerating the Order Entry process tremendously. Registration of shipments is also easier. Your particular Van Line affiliation determines how IntelliTrax assists with Van Line Registration. For Atlas Van Line Agents, the process couldn't be simpler. We have been working with Atlas to initiate Shipment Upload / Download (SUDS) for a year. We are also currently revamping our SUDS system to comply with the NEW Atlas Registration standards and will have this complete prior to the Second Quarter 2001 deadline. Simply by clicking on the Registration Button on the Order Entry screen, your shipment will be uploaded to Atlas. From that point on, if you or Atlas changes the shipment information, the data will automatically be re-uploaded and down loaded. For other Van Lines, there is currently no direct upload capability. We are in the process of negotiating with other Van Lines to allow this feature. However, there are several alternative methods available such as automatic E-mail or Fax registration as well as printing custom reports based on Van Line Registration Screens to facilitate rapid data entry. Survey IntelliTrax has powerful Survey capabilities. All surveys are initiated by the Order Entry Process. Once a Survey is complete, all data relative to that survey is available through the survey screens included in the Order Entry System. For more details on Surveys visit the Survey & Rating Section. Rating Rating a shipment is no longer the dreaded task of the CSR. Using the QuickMove Survey and Rating Engine, IntelliTrax seamlessly combines Rating of Shipments with the Survey System. Once a Survey has been initiated from within IntelliTrax, the completed Survey data is automatically rated based on the Tariff used in the survey. IntelliTrax also allows for frozen rates and Tariffs as well as calculates Discounts. By using Profiles, you set the Frozen Date, Tariff, and Discount Rate. IntelliTrax will pass this information to QuickMove and the Surveyor will use the appropriate information for creating the Estimate in Residence. This information will then be uploaded back into the CSR's screens once the survey is complete. This information is then passed to the Accounting system for billing, auditing and settlements. Task Assignment All shipments have unique tasks. IntelliTrax automatically assigns Customer Service, Operations, and Warehouse tasks depending on data in Profiles, Order Entry and Surveys. Some examples include, CSR ShipTrax Actions, Dispatch Requests, Equipment Lists, Packing Materials Lists, inbound SIT and many more. No two shipments are alike, therefore IntelliTrax provides the organization the ability to create Standard Required Tasks. Additionally, IntelliTrax provide the CSR the ability to create custom tasks on the fly for any shipment task unique to a given shipment. Instruction - Notes Here's the solution to a frustrating little problem. IntelliTrax includes two separate screens for Notes and Instructions. Use the Instructions Screen for the information and instructions that you want to have print on the Shipment Dispatch Paperwork. Use the Notes Screen to type the information that you want to keep in-house. Additionally, all Instructions and Notes Screens are directly linked to a given shipment and are real-time. What you type in the Screens from Order Entry, Operations, Claims, or Warehouse is immediately available to all other users. One Instruction Screen and One Notes Screen per shipment... period. |

This Special Feature is called ActionTrax. The Special ActionTrax system for CSRs is called ShipTrax and prompts the CSR to complete actions set by the organization for every shipment. The first step in using this powerful feature is for you to decide on the items that you want to be sure your CSRs do consistently for every shipment. For example:
Click here for a sample ShipTrax Screen. Then using the IntelliTrax Admin Center, you list these steps in the IntelliTrax Codes Tables. Once you have completed adding your steps, every time the CSR creates a new shipment, the ShipTrax Screen will automatically be populated with these Actions to be completed. Additionally, the CSR may add Personal Custom Actions on the fly for each shipment to cover those actions unique to any given shipment. Regardless of whether the Actions are set by the organization or created on the fly by the user, the Actions are captured in the ActionTrax Calendar Center. The ActionTrax center contains screens that build Hot List of Actions to do by date, action, and user so that each day the user has a priority list of Actions to complete each day based on the priority set by the user and / or the organization. ActionTrax are not limited to CSRs. In addition to ShipTrax there is ClaimTrax and StorageTrax. For operations Vision Quest is developing JobTrax, FleetTrax, EquipmentTrax, and CrewTrax.
